What is AI automation? A plain-English guide
A definition you can use in a meeting, the difference from regular automation, and what it looks like inside a real business.
Strip the buzzwords and AI automation is one idea: software that completes a task on its own, including the parts that used to need a human's reading and judgement. Classic automation could already move data between apps when the data was clean. AI automation handles the real world — the rambling customer email, the crumpled receipt, the lead who filled the form in badly — because a language or vision model sits inside the workflow doing what only people could do before: read, understand, decide, write.
The anatomy of a workflow
Every AI automation, however fancy, is a chain of four things:
- A trigger — the event that starts it: an email arrives, a form is filled, a video is uploaded, it's Monday 8am.
- Steps — actions in your existing tools via their APIs: look up the order, create the task, send the reply.
- AI where judgement lives — the model reads the messy input, classifies it, extracts the facts, drafts the words in your tone.
- Guardrails — limits and approval steps wherever a wrong call would cost money or reputation.
Concrete example: a customer emails "hey it's been 2 weeks where's my stuff??" The workflow identifies the customer, pulls their order and live carrier data, and sends a specific, polite answer in the brand's voice — in under a minute, at 3am. That's AI automation; a rules-only system couldn't have read the email, and a chatbot without system access couldn't have answered it. (That difference is why chatbots got their reputation.)
What it can't do
Honest limits: it can't handle tasks with no pattern ("figure out our strategy"), it shouldn't own decisions you couldn't explain to the person affected, and it degrades without maintenance — models drift and APIs change, which is why unowned automations die. The craft isn't the AI; it's the boundaries.
